1. Introduction

This Privacy Policy explains how HavenStone Advisory (“HavenStone,” “we,” “us,” or “our”) collects, uses, and protects personal information when you visit havenstoneadvisory.com, communicate with us, or use our services. Our services are intended for U.S. residents in connection with U.S. tax matters.

2. Information We Collect

  • Identifiers and contact details you provide (name, email, phone, etc.).
  • Technical data via cookies, analytics, and advertising measurement tools (IP address, device/browser, pages visited, usage data).
  • Communications with us, including call/SMS/email interactions and scheduling information.

3. How We Use Information

  • Provide services, respond to inquiries, and deliver requested resources.
  • Send administrative, transactional, and service-related communications.
  • With your permission, send marketing communications (opt out any time).
  • Improve the site/services and security; comply with legal obligations.

4. Cookies and Analytics

We use cookies and similar technologies for functionality, analytics, performance, advertising measurement, and conversion reporting. You can manage cookies in your browser; some features may not function if cookies are disabled.

After a ChatGPT ad click, we store its click reference in a first-party cookie for up to 90 days to measure a later form submission or appointment booking. When you submit your details through our contact, resource request, quiz, or scheduling forms, or confirm an appointment, we send OpenAI the type of action, a conversion identifier, its confirmation time, our website address, and the ad click reference when available. We do not send contact details, form answers, or SMS consent information through this integration. We honor Global Privacy Control for this measurement.

5. Service Providers and Sharing

  • We do not sell or rent personal information.
  • We work with service providers under contract who process data on our behalf (only as instructed), including:

    • Vercel Inc. - Vercel (hosting/CDN)
    • Twilio Inc. - Twilio (messaging/voice)
    • HighLevel (GoHighLevel) - CRM & marketing automation (client relationship mgmt.)
  • We may disclose information if required by law or to protect rights and safety.
  • Mobile phone numbers and text-messaging consent are handled separately and more restrictively: see SMS Terms (Text Messaging) below.

6. SMS Terms (Text Messaging)

If you check the optional SMS consent box on one of our forms, or answer YES to the SMS consent question when booking an appointment on our scheduling calendar, you agree to receive transactional, non-marketing text messages about your inquiries, downloads, appointments, and client service. Providing your phone number without taking one of those steps does not enroll you in text messaging. Consent is not a condition of purchase. Message frequency may vary, up to 10 messages per month. Message & data rates may apply. Reply STOP to cancel and HELP for help. Full program terms are in our SMS Terms.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

7. Email and Phone Communications

If you provide your email or phone number, we may contact you about your request, the services you use, and related transactional matters. Where required, we obtain consent before sending marketing emails or calls. You may opt out of marketing at any time. We maintain an internal Do-Not-Call list.

8. Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, or misuse.

9. Your Choices

  • Unsubscribe links in marketing emails let you opt out at any time.
  • Reply STOP to any SMS to cancel; HELP for help.
